Maintenance Team Manager

The Opportunity

This position is responsible for strategic and tactical direction in planning projects, managing workflow, supervising field personnel, determining budget estimates, and assuring quality control to achieve business goals while working to streamline processes and maximize operational efficiencies.  Develops operational goals and objectives and associated programs, policies and procedures to drive the efficient and profitable operation of the Team. Consistently directs the logistics across the Team while attaining client satisfaction levels.

Responsibilities

Project Management:

  • Customer Service
    • Respond to residential and commercial client calls, complaints, and requests.
    • Follow up with Account Managers and communication with clients.
  • Projects in Progress
    • Sales: annual color, holiday lighting, snow removal operations, maintenance services and small construction
      • Contracts
      • Work Orders
      • Track Sales
    • Production
      • Communicate with Account Managers and Foreman on schedule.
    • Accounting
      • Develops budgets for their team and manages within budgeted parameters. Accountable for the P&L across the team and recommends ways of maximizing resources and creating value for clients.
      • Routinely review and correct project cost vs. budget performance.
    • Attend HOA meetings when needed.
  • Project Completion
    • Approve invoicing.
    • Review job cost analysis with Account Sales Manager.
    • Approve Warranty Work Orders with Account Managers .
    • Complete Job Transaction Detail Report (JTDR).
    • General Ledger Journal Approval.
    • WIP Approval.
    • Resolve invoicing discrepancies

Office Management:

  • Responsible for managing and leading the Maintenance Team.
  • Ensure high quality maintenance and small construction services, as contracted, to clients consistent with the company standard and operating practices.
  • Coordinates and manage effective and efficient use of company resources, including personnel, equipment, materials, and knowledge for completion of all residential and commercial services.
  • Provide guidance and support to the Maintenance Team Office Manager, Account Managers and Foreman.
  • Address performance issues with staff as needed.
  • Provide timely feedback on significant issues to the President.
  • Work to increase maintenance and small construction revenue and profitability.
  • Recruit, hire, train and manage a highly competent maintenance staff with the support of Human Resources.
  • Ensures adherence to policies, procedure, and standards within budgetary specifications, including time management and supply management.
  • Implements all company policies, utilizing sound maintenance practices to attain required quality control.
  • When necessary, serves as the primary contact for planning commissions, governing bodies, higher-level management, and client representatives.
  • Creates periodic reports summarizing the progress of maintenance activities.

Business Development:

  • Maintain and market company through various organizations; meeting new contacts and promoting services.

Serve as a member of the Executive Management Team:

  • Attend and actively participate in meetings to discuss and implement strategic initiatives for the Company.

Snow and Ice management:

  • Manage Snow Supervisors on each Team.
  • Work with Sales Manager on establishing and assigning snow removal routes for staff.
  • Coordinate materials and tools as needed.
  • Oversee snow training in fall with Sales Manager and Fleet Manager.

Qualifications

Educational and Experience Requirements: 

  • Bachelor’s degree in Horticulture or related field or equivalent in years of experience (two years’ experience to one year of education).
  • Minimum of 5 - 7 years of experience in the landscape construction industry.
  • 3-5 years managing a maintenance team or division with 30 plus employees.
  • Must possess estimating knowledge in the maintenance, construction, irrigation; controllers, backflows and irrigation design, or related industries.
  • Must have a valid and clean driver’s license and MVR (Motor Vehicle Record)

Specialized Knowledge, Skills, and Abilities: 

  • Thorough knowledge of landscape design, property management (maintenance), construction, irrigation systems, and snow management.
  • Thorough knowledge of regional plant material and ability to identify such plant material from annual flowers to trees.
  • Advanced communications, presentation, and negotiation skills
  • Ability to give direction, adapt to change, establish relationships, build consensus, anticipate roadblocks, and work in a team environment
  • Ability to prepare irrigation, bed care, mowing, annual flowers, holiday lighting, construction and snow management schedules, cost estimates and negotiate change orders
  • Ability to understand and apply pertinent laws, regulations, codes, and ordinances
  • Ability to prioritize multiple duties, projects, and work assignments
  • Ability to forecast upcoming seasons
  • Thorough knowledge of equipment
  • Thorough knowledge of the limitations of specific types of maintenance and construction equipment and safety practices used in performing construction and maintenance services
  • Outlook/Word/Excel proficiency
  • Bi-lingual skills (English/Spanish) is highly desired
  • LICT (Landscape Installation Certified Technician) certification, maintenance supervision and field experience is highly desired
  • Obtain and maintain a Colorado QS (Quality Supervisor) license with the Department of Agriculture.
  • Must be organized, able to multitask, sense of emergency for client needs.
  • Ability to identify turf disease, pests, weeds, and water requirements.
  • Must have valid driver’s license and clean MVR (Motor Vehicle Record).
